College Hill Technology ‘Tech’ Team

Policies and Guidelines

The College Hill Technology Team is here to support the ministry and help services and events run smoothly. To serve everyone effectively, please review the guidelines below.


What the Technology ‘Tech Team’ Does

The Tech Team is responsible for:

Live streaming in-person services

Creating flyers and presentations for auxiliaries and services

Organizing announcements for Sunday services

Creating sanctuary TV displays and presentations

Facilitating virtual services on Zoom

Maintaining the church Zoom calendar

Creating slides for the church outside sign

Managing and posting on church social media platforms

Maintain the church database and coordinate all electronic correspondences to membership

Registering new members and disseminating any technology information

Coordinating repairs, maintenance, and installation of various technology equipment


Live Streaming Guidelines

Sunday 10:30 AM main services are the only services automatically livestreamed (no request required).

If you would like any other service livestreamed, please submit your request at least 2 weeks prior to the event by:

Please note: Submitting a request does not guarantee livestream coverage if team members are unavailable.

Funeral Services (Exception)

Requests should be made as soon as possible.

Fee:

$50 for the first 3 hours

$10 per hour for each additional hour

Fees are waived for deceased church members.


Presentations and Music Submissions

If you need a presentation displayed or music played during your event:

Submit all materials at least 1 week prior to your event.

Music must be submitted in MP3 format.

Videos must be submitted in MP4 format.

If files need to be converted, additional time may be required.

Funeral Services (Exception)

Materials should be submitted as soon as possible. All presentations and media files must be emailed to: avinfo@chcogic.org


Announcements & Social Media

Sanctuary Screens & Weekly Email

Submit announcements no later than midnight on Wednesday before the Sunday you would like them displayed (announcements@chcogic.org)

Sunday Verbal Announcements

Requests must be submitted for approval no later than midnight on Wednesday prior to the Sunday of announcement. (announcements@chcogic.org) You will be notified if your announcement is approved or denied. Announcements cannot be approved the day of.

Only the following events may be announced by someone other than the announcement team:

Fellowship Day

Pastor’s Appreciation

Website & Facebook Announcements

Submit by the 15th of the month prior to your event.

(Example: For an October event, submit by September 15.)

Non–“Hill” Related Announcements

Will be announced for a maximum of three weeks during the week. Will not automatically be announced on Sunday.

Printed Flyers

Requests must also be submitted by the 15th of the month prior to the event

Zoom Services

Submit all Zoom service requests to:

chtechteam@chcogic.org or contact Sister Amber Conage or Sister Tanae Mathew The Tech Team will verify availability and confirm your scheduled time.

Please note:

The church Zoom account allows only one meeting at a time.

Even if you have a church account Zoom ID, meetings must still be scheduled. Unscheduled meetings may be canceled if double-booked.

Virtual services outside of regular Bible Study must be scheduled before planning the service.


Outside Church Sign

The Church Administrative Board determines what is displayed on the outside sign.


Please note: All requests for microphones, instruments, or sound support must be directed to the Sound Ministry, as the Technology Team does not have access to that department’s equipment. We also kindly remind everyone that members of the Technology Team serve as volunteers and balance their ministry responsibilities alongside personal, family, and professional commitments. We appreciate your understanding, patience, and continued support of their service. Thank you for your cooperation and partnership with the Technology Team as we work together to serve the ministry with excellence.
